AdConnections/Matrix Integration Overview

Integrating AdConnections and Matrix saves time, eliminates manual entry and offers valuable insight by combining forecast and booked dollars into a single view. Starting with AdConnections, you can create your proposal and then send it to Matrix, saving time and manual entry in two systems.


Create your Proposal in AdConnections

The following steps assume that AdConnections is displayed in your browser, you are logged in, and that you have initiated a new proposal, and following your organization’s guidelines and procedures, but paying close attention to the fields list below. The information in these fields will transfer to the new deal in Matrix. Therefore, it is very important that they are completed correctly.


Header Info

Proposal Title ‐The text in this field will become the deal’s name in Matrix. Please keep it to 100 characters or less.

Advertiser ‐The text in this field will populate the account field in the Matrix deal. Tips/FAQs: Type the account’s name in to the field, and then click the Search button. From the list that appears (which is from OSI), select the correct instance of the advertiser. If you leave the option set to no advertiser selected, then the text that you typed in to the Advertiser field will be used to create a new prospect account in Matrix (once you send the proposal over). Also, if you use the add new function to create a new advertiser, then again, a new prospect account will be created in Matrix.

Agency ‐The text in this field will populate the agency field in the Matrix deal. Tips/FAQs: Type the agency’s name in to the field, and then click the Search button. From the list that appears (which is from OSI), select the correct instance of the agency. If you leave the option set to no agency selected, then the text that you typed in to the Agency field will be used to create a new agency record in Matrix (once you send the proposal over). Also, if you use the add new function to create a new agency, then again, a new agency record will be created in Matrix.

The dates specified in this section will become the Run Dates in the Matrix deal.


Send your Proposal to Matrix

The following steps assume that AdConnections is displayed in your browser, and you are logged in to your account. 

  • From the top of the screen, click the Sales icon.
  • Select the My Proposals tab. Then, click the Current tab.
  • In the CRM column (1st column on the left), check the box preceding each proposal that you wish to send to Matrix.
  • Click the Save button.
  • Click OK (from the message box that appears).


What’s Next?

The information is sent to Matrix. A new Pending deal is created, based on the information that you entered in to the proposal in AdConnections. In Matrix, look for deals with the word “AdConnections” included at the end of the deal’s name. This will allow you to identify deals that were created from AdConnections.


FAQs 

Q. When the deal is created in Matrix, how do the Office and Category fields become populated?

A. The Office field will automatically be populated with the office that you specified as your default on your Profile page. If you have not specified a default, then Matrix will use the first office that appears in the list of your available offices. The Category field will populate with the one that was most recently used for the account that you are working with. If there is not one, then an N/A will be populated in the Category field in the new deal.

Q. How often is information sent from AdConnections to Matrix?

A. Data is transferred from AdConnections to Matrix once an hour. If an error occurs that prevents the data from getting to Matrix, Matrix will grab all data from those missed hourly calls on the next successful call.

Q. I just sent my proposal to Matrix. I know that a deal should have been created, but I cannot find it. How do I know if the data transfer was successful?

A. In AdConnections, look for a check in the CRM column. This indicates that the proposal has been sent, or that you have selected it to transfer. If in doubt, click the Save button to ensure that you really did send the data over to Matrix. Also, be aware that the data transfer between AdConnections and Matrix occurs once an hour, not in real time. Your new deal will not appear in Matrix until that transfer occurs. Please keep rechecking for your new deal to appear in Matrix.

Q. I updated a deal in Matrix. Will the details also be synced with the proposal in AdConnections?

A. No, the details will not be synced. No syncing will occur at any time, whether the updates were made in AdConnections or in Matrix. If, for example, you edit a deal in Matrix and need those details to also reflect in AdConnections, then you will need to make those updates in AdConnections.

Q. I deleted a deal in AdConnections. What happens to it in Matrix?

A. The deal will automatically be deleted in Matrix. No further action is expected on your part.

Q. In Matrix, I need to know which deals were generated from AdConnections. Where can I see this information?

A. Look at the names of your deals. At the end of the name, the word ‘Ad Connection’ will be present. This will indicate that the deal originated from AdConnections.
