Marketron - Generating Matrix Import Files

In order for the Matrix database to contain updated revenue information as reflected in the traffic system, four reports are necessary from Marketron Traffic used in importing into the Matrix database(s): the Scheduled and Contracted reports will each be generated in two different versions. The Scheduled reports contain historical Boardfile data; the Contracted reports contain projected contract data. Daily generation of these reports is necessary for updating the Matrix database(s) with the most recent sales figures. These reports are then output as a text (.txt) file.


For Matrix you will be exporting 4 reports to text file. 

  1. Scheduled – Standard Broadcast billing cycles only
  2. Scheduled – Calendar Billing cycles only
  3. Contracted – Standard Broadcast billing cycles only
  4. Contracted – Calendar billing cycles only

Scheduled Report for Matrix Broadcast Standard Billing Cycle


1. Marketron Traffic Report icon > Management Reports > Scheduled > Scheduled

You must know the date ranges available to be reported on by your Scheduled report.  This will be based on your Boardfile dates.  You can find this information in your Reports module under Help >About.

 In this example, Boardfile can report on any past month through the End of Spot File, which is 4/27/15. In our example above, we will consider April 2015 as the “Current Month.” 

1. General Tab:

a. Station Box – Select All.

b. Month Box - Broadcast Standard - Select previous month through the last full month of Boardfile, ie: March 2015-July 2015.

c. Special Options:

i. Checkmark Include Bumped data in gross figures – This option will include revenue from spots on the Bumped Spot file in Boardfile.

ii. Checkmark Include Unresolved Missed data in gross figures – This option will include revenue from spots that have been marked as Missed – Unresolved in Boardfile.

iii. Checkmark Base Alternative Revenue on billing values – If you have Alternative Revenue schedule lines where you have manually adjusted their dates or amounts to be invoiced in Line Details, Billing tab; the adjusted amounts will be reported for lines that Bill By Projection. 

If you have Alternative Revenue schedule lines, where you “Bill By Delivered, Impressions or Clicks” that data must be updated, either manually or by Triton-Ando Streaming System in order to show revenue.  Without updated performance data, these lines will show zero dollars for past dates.  These lines will always show zero dollars for future dates.

2. Inventory Types tab – Include All Inventory Categories and Inventory Types.

3. Daypart Tab – (This section only needs to be done once per user and it will save to their profile.)

- Days should include M-Su.

- Start Time should be 12M (bottom of the list).

- End Time should be 12M (bottom of the list).

- Click Add.

- Checkmark the MSu12M-12M daypart on the right.

- Save Group – give the daypart a name, such as Matrix M-Su 12a-12a.

4. Filter Tab – Include all table selections.

5. Name Tab – Include all table selections.

6. Revenue Type Tab – Include All table selections.

7. Click OK and Generate Report.

8. Right Click anywhere in the report and select Show Fields. 

a. Clear All at the bottom, include the following fields:


- Station
- Advertiser
- Agency
- Salesperson
- Rep Office
- Month
- Net $
- Gross $
- Primary Competitive
- Revenue Type
- Inventory Type
- Billing Cycle


9. Double click Billing Cycle column header to sort by this column.

10. Highlight Standard records, right click, Filter by Selection. This will filter out/remove any contract other than the Standard Broadcast billing cycle clients.

11. Go to File>Print Preview.

12. Once the report is displayed on screen, choose File> Export to Text and save the file as needed with an appropriate title.txt.

13. File>Save As- Provide design name, such as Matrix Scheduled Report-Broadcast.

 

Scheduled Report for Matrix-Calendar Billing Cycle

1. Right click on your current Scheduled Standard Broadcast report, and choose Options.

2. General Tab:

a. Station Box – Select All.

b. Month Box - Calendar - Select the same months as above, March 2015-July 2015.

c. Special Options:

Contracted Report for Matrix-Standard Broadcast Billing Cycle

1. Marketron Traffic Report icon. > Management Reports > Contracted > Contracted.

2. General Tab:

a. Station Box – Select All.

b. Month Box – Calendar - Select the next consecutive months after the Scheduled Report range.  In this scenario that would be August 2015-February 2016.  Our goal is to report on 12 consecutive months.

c. Special Options: Do Not Check Include Lines with Revise Status.

3. Inventory Types tab – Include All Inventory Categories and Inventory Types.

4. Filter Tab – Include all table selections.

5. Name Tab – Include all table selections.

6. Revenue Type Tab – Include All table selections.

7. Click OK and Generate Report.

8. Right Click anywhere in the report and select Show Fields. 

a. Clear All at the bottom, include the following fields:


- Station
- Advertiser
- Agency
- Salesperson
- Rep Office
- Month
- Net $
- Gross $
- Primary Competitive
- Revenue Type
- Inventory Type
- Billing Cycle

1. Marketron Traffic Report icon. > Management Reports > Contracted> Contracted.

2. General Tab:

a. Station Box – Select All.

b. Month Box – Calendar – Select the same months as above, August 2015-February 2016. 

c. Special Options: Do Not Check Include Lines with Revise Status.

3. Inventory Types tab – Include All Inventory Categories and Inventory Types.

4. Filter Tab – Include all table selections.

5. Name Tab – Include all table selections.

6. Revenue Type Tab – Include All table selections.

7. Click OK and Generate Report.

8. Right Click anywhere in the report and select Show Fields. 

a. Clear All at the bottom, include the following fields:


- Station
